Coach Role
- Meet with manager to determine tournament schedule based on availability and team direction. Coach all tournament games or find coaches to cover all tournament games.
Manager & Treasurer Role (before the event)
- Meet with coach before the season starts to determine tournament schedule
- Fall Season – meet by June
- Spring Season – meet by December
- Develop budget based on tournament entry fees, coach travel and per diem (see TNFC coach travel expense guidelines)
- Collect from parents
- Enter tournaments by entry deadlines
- Fall deadlines for big tournaments can be in JULY!
- Spring deadlines for big tournaments can be in January!
- Coordinate hotel accommodations
- Appoint a team travel coordinator (or the manager can do it)
- Some tournaments are “stay to play” meaning you MUST book your travel through the tournament hotels (check tourney website)
- Book a coach room and use a team credit card to hold it (some hotels will comp the coach room if you have enough room nights booked)
- Consider a hotel where breakfast is included to save team money
- Put together a tournament check in binder with the following
- Notarized medial release
- Birth certificate
- Roster
- Player cards (TSSA/USYS cards for player & coaches)
- Tournament rules
- Directions to fields and hotels
Manager Role (at the event)
- Organize player cards, medical releases, rosters, any specific tournament paperwork and check the team in at tournament
- Have player cards & rosters at each game
- Communicate game times, warm up times, and uniforms for each game
- Communicate any game changes from the tournament
- Check the coach in the hotel and give the coach a room key. Give the coach their per diem and travel expenses at the tournament (see TNFC coach travel expense guidelines)
